Classroom Reservation

Reservation Process
Please reserve classrooms using the SAINT portal on the school website.
Go to SAINT Portal
link-out
1. Sign into the SAINT Portal. Then go to the “Facility Reservation” page and then the “Request” page
2. 

Event Details: Fill in the event details, specifying the purpose and use of the classroom

- Please note that failure to provide sufficient event details may lead to a request rejection

- Air conditioning and heating: Note that there may be restrictions on air conditioning and heating due to the school's energy conservation policy, especially outside of undergraduate class hours for buildings with central heating and cooling
3. 
Reservation List: “Request” - "Search” after inputting the search conditions

- Period - Select a date within the next 2 weeks

- Reservation Type - Select “classroom”

- Building (room) - Select the building where you want to make a reservation

- Accommodation – If you leave this field empty, you can see all classrooms

4. Select “Available” classroom – select "Reserve" - fill out all the details including the event details – click "Complete"
5. Once the “Request” status is set to “Approved,” the reservation has been confirmed for use
Precautions on Classroom Reservations
1.  Classroom reservations are available using the SAINT Portal. Reservation requests must be made at least 3 days and no more than 2 weeks in advance. The reservation time period is limited to up to 3 days (3 requests) per week except under special circumstances, which require a letter of cooperation from an advisor submitted to the Student Support Team (705-8740).
2. Hours of Use

- During the Academic Year: Weekdays 18:00 - 22:00 (During holidays, including weekends, 9:00 - 22:00)

- During Breaks: Weekdays & Weekends 9:00 - 22:00 (Note, if there are any summer/winter classes, reservation can be made only after 16:00)

- During mid-terms and finals, classrooms cannot be reserved. (If you must use a classroom during mid-terms or finals, please contact the Student Support Team at 705-8124.)

3.  Requests made after 5 p.m. on the day before a holiday lasting more than 3 days, including weekends, will not be approved until after the holiday is over.
4. Prior to use, please ensure that classroom doors are open (for assistance contact ADT at 705-8144). After use, kindly clean and organize the classroom.

At the start of the semester, please, refrain from booking classrooms with a small number of people due to the high demand for classrooms.
To prevent a few students from monopolizing classrooms, only a group of 5 or more can make a reservation request. Also, check the reservation status frequently even after receiving an approval as classroom availability may change.
6.  When making classroom reservations, provide all information, including the purpose and content in detail. Failure to do so may lead to rejection.
7.  When using the classroom, maintain a noise-free environment and avoid disturbing other classes, labs, and students.
8.  If your reservation conflicts with a class or school event due to unavoidable circumstances, prioritize classes and school events will have priority.
9.  If you are unable to use your approved reservation due to an unforeseen situation, promptly contact the Student Support Team (705-8128) to cancel the reservation and allow other students to use the space.
10.  In general, external organizations are not allowed to rent classrooms. Exceptions require approval from the Student Support Team and Office of HR and General Affairs based on the following criteria and purposes.
Approved Cases (free of charge)
(Example)
- In the case where external lecturers or experts are invited to participate in events organized by student organizations for Sogang University students
- In general, the following classroom uses are not permitted (if permitted, there may be a small fee)

(Example)
- Events organized by external organizations with a branch on campus
- University-organized events primarily targeting audiences outside the campus community
- Events whose members and purposes are not related to Sogang students despite the involvement of some students

11. 
If any violations of regulations related to classroom rentals are identified, such as providing false information about the event, renting a classroom for events primarily aimed at audiences outside the campus community, or attempting to rent a classroom without the appropriate processing, the student who reserved the classroom and the organizer will be prohibited from reserving classrooms for a specified duration.


12. 
Even if the event is held following the appropriate rental procedure, in the event of causing significant disturbances or inconvenience to others, such as excess noise, the student who made the reservation and the organizer will be prohibited from reserving classrooms for a specified duration.
